## How does expense reporting work with a card from Kleer/Mynt?

Kleer has a partnership with Mynt to simplify expense management. Read more below to find out how it works.

## Web or app?

This guide covers reporting in the web interface, but for many users the most convenient way is to use our app. You will find in the app store for iPhone or Google Play for Android phones. Please see the separate guide for the app.

## When are the transactions visible in Kleer?

Provided that your company has activated the integration with Mynt, new transactions show up in Kleer immediately after the purchase. They are visible in *Expenses > Manage expenses* on the web or *Expenses > Card transactions to report* in the app.

## How do I report the purchases?

The transactions you need to report are shown at the top of *Expenses > Manage expenses > New card transactions.*

For each transaction, you have to attach the actual receipt (unless Kleer automatically has matched if for you, see below) and add any missing details such as type of receipt, participants, categories etc. Also VAT unless Kleer automatically has filled it out.

When you save, the card transaction is moved from the *Not handled* to the *Handled* filter and the actual receipt is moved to the *Entries to be submitted* heading on the Manage expenses page. When you are done with all purchases, you have to submit them for approval.

Note: You'll minimize the amount of work if you continuosly make sure the actual receipts end up in Kleer as you go about spending. In many cases, Kleer can then automatically find and suggest the correct receipt photo/PDF when you open a card transaction to report in the app.

You can take photos of them with our app, upload them on our website or send them to kvitton@expense.kleer.se from the same e-mail address that you use to login to Kleer.

**Then the automatic feature for matching receipt and card transaction will work as efficently as possible.**

**Recurring purchases automation**

If Kleer finds a card transaction that has the exact same description as a previous purchase, Kleer will automatically populate these fields to match the *latest* purchase from the same supplier:

- Type of receipt

- Country

- VAT %

- Categories, incl. any possible distribution

There is also logic to handle some common recurring transactions from e.g. Facebook, LinkedIn and Google even if the description/reference is unique for each transaction. For instance, "FACEBK Z65TPQ6642" will be considered the same as "FACEBK 32X95VFDG3".

**Why can't I submit a certain expense?**

As the purchases made with Kleer/Mynt cards appear in Kleer as soon as they have been reserved, there is a chance that the amount that finally will be deducted from your account will differ compared to the one that was resered. To avoid errors in the accounting data you can not submit an expense for approval until the purchase has been "settled" and the final amount has been decided.

Normally purchases are settled within 24 hour, but it *could* take several days or in some cases never happen. In that case, contact your manager or the Kleer administrator at your company for help.

(Examples on why the settled amount might differ from the reserved amount include but are not limited to fluctuating exchange rates for purchases made in foreign currency or gas stations immediately reserving 1500 SEK, but then adjusting the final amount according to how much gas you actually filled up.)

**Why do I get multiple push notifications about the same purchase?**

In case you have added your card as a virtual card to Apple Wallet or Google Wallet, by default that app sends you notifications.

You can adjust those notifications per card, so please turn them off from the Wallet-app and you will only get a notification from the Kleer app.
