Send supplier payments

This guide describes how you work with payouts through the Transfers page in Kleer (Bank > Transfers).

Here the payments that are sent to your bank are created, listed and handled, for example payments of supplier invoices and salaries. The manual is a complement to the manuals that describe the bank connection itself and the agreements with the bank (for example the SEB and Handelsbanken integrations).

Background and purpose

Through the bank integration, Kleer can send payment orders directly to the bank. Most transfers are created automatically from authorised supplier invoices and finished salary payouts, but the Transfers page gives you an overall view of all payments and lets you create a manual transfer when needed and cancel upcoming transfers.

If no bank accounts have been set up for transfers, an information message is shown instead, explaining that the function requires at least one connected account.

Create a new transfer

Under the heading New transfer you fill in the details of the payment. The field is shown to those who have the right permission.

  1. Select the Account that the payment is to be drawn from.
  2. Enter the beneficiary details:
    • Beneficiary name
    • Beneficiary address 1 and Beneficiary address 2
    • Beneficiary postal code
    • Beneficiary city
    • Beneficiary state
    • Beneficiary country code
    • Beneficiary account (the beneficiary’s account number/IBAN/bankgiro/plusgiro)
  3. Fill in the Amount and select the Currency.
  4. Select the Date when the payment is to be carried out (the date picker opens with the calendar button).
  5. Enter a Reference that goes with the payment to the beneficiary.
  6. If needed, enter Reporting code and Purpose. These are used mainly for international payments, where the bank or Sweden’s central bank (Riksbanken) requires a code that describes the purpose of the payment.
  7. Click Create.

When the transfer has been created, a confirmation is shown and the payment is placed in the list under Registered.

International payments

For payments abroad, you enter the beneficiary’s full address, country code and beneficiary account in IBAN format. The Reporting code (regulatory payment code) and Purpose fields control how the payment is classified in the file that is sent to the bank. Which reporting codes are valid is controlled by the bank agreement and is shown in the list when relevant.

List and filter transfers

The list can be filtered by status using the filters at the top:

  • Future: payments that have not yet been sent or carried out.
  • Pending: payments that have been sent to the bank and are waiting for confirmation.
  • Processed: payments that have been carried out.
  • Cancelled: payments that have been cancelled.
  • Failed: payments that could not be carried out (failed).
  • Completed: completed payments.

For each transfer you see, among other things, Date, Account, Source (for example supplier invoice or salary/expense journal), Beneficiary, beneficiary account, Amount, Reference, Purpose and who created it and when.

Cancel an upcoming transfer

For payments with the status Future you can cancel the transfer.

  1. Click Cancel on the row for the payment in question.
  2. A dialog shows the amount and the beneficiary and asks whether you are sure.
  3. Enter a Reason.
  4. Confirm with OK.

Cancelled transfers are found under the Cancelled filter, where you can also see who cancelled and the message that was entered.

Processed and failed transfers

Click a processed transfer to open the Delivered dialog, where you see End-to-End ID and any associated files that were sent to the bank.

If a transfer has failed, it ends up under Failed. Some correction functions on this page, such as failing or undoing the failure of a payment, are intended to be carried out only by technical support or the responsible consultant. The system warns clearly before such an action is carried out.
