Email templates for customer invoices
How to create, edit and delete email templates for customer invoices, including how to bring back a template you have deleted.
This guide describes how you create and maintain Invoice email templates in Kleer. The templates control the message that goes with customer invoices when they are sent by email, so you do not have to write the same text every time. You find the view under settings, and it complements the guide on invoice templates.
Overview of templates
The Invoice email templates view lists the existing templates.
- The list shows the templateâs Name, Subject line (description) and Type.
- With the status filter at the top you can switch between active and deleted templates. For deleted templates you see who deleted them and when.
- Click a templateâs name to open and edit it.
Create a new template
- Click Create at the bottom of the list.
- In the Invoice email template dialog, fill in:
- Name: the templateâs internal name.
- Type: choose the type of template from the list.
- Subject line: the subject line used in the email.
- Text: the message itself. The text editor supports formatting.
- Click Save.
Edit a template
- Click the templateâs name in the list.
- Change the name, type, subject line or text in the dialog.
- Click Save.
Delete and restore a template
- To delete a template, click the bin icon on the row and confirm in the dialog âDo you wish to delete template?â.
- Deleted templates are shown when you switch the filter to deleted. To restore a template, click Regret deleting and confirm in the dialog âDo you wish to take back (withdraw) template?â.
Tips
- Create separate templates for different types of mailings, so that the right subject line and text follow each type of invoice.
- A template that was deleted by mistake can always be brought back through the filter for deleted templates.
