The Kleer app

Common questions about the mobile app: time reporting, absence, expenses, card transactions, salary, vacation and approvals.

The questions below follow the tabs in the app. What you see depends on how your company has set up Kleer and which permissions you have.

Absence

If you are employed with a schedule, you need to report your absence for your salary to be correct.

How do I report absence?
  1. Go to the Time tab.
  2. Tap Add time.
  3. Tap Absence in the toggle at the top.
  4. Fill out the form, see the next question.
What do the fields in the time reporting form mean?
  • Activity. The type of absence. Two activities should normally never be used without talking to your manager first: Leave of absence (with holiday entitlement) and Other absence (with holiday entitlement).
  • Child. Parental leave and care of a sick child require you to select which child the absence concerns. If the child is not in Kleer yet, you can add it from the form.
  • Date. The day is mandatory. If the absence covers a longer period, also fill in Until. Weekends, public holidays and other days you are not scheduled to work are skipped automatically, so you can add for example vacation from June 1 to August 31 in one go.
  • Comment. An optional comment to your manager or payroll administrator, for example the reason for your absence.
I will be on parental leave or vacation for a longer period. What is the easiest way to report it?

Fill in a date in Until as well. The absence is then reported for the whole period, for example June 22 to August 3. Days you are not scheduled to work, such as weekends and public holidays, are skipped automatically.

Hours worked

If you are paid by the hour, or your company works with client projects, you need to report time for your salary and the client invoices to be correct.

How do I report hours worked?
  1. Open the form in one of two ways:
    • Go to the Time tab and tap Add time. The button is not shown if the week you are in is already approved or authorised.
    • Go to the Home tab, swipe to the Reported time card and tap Add time.
  2. Select Hours worked in the toggle at the top.
  3. Select Project and Activity.
  4. Select Date, and Until if the time covers a whole period.
  5. Enter hours and minutes.
  6. Add an External comment, which can be shown on the client invoice, and an Internal comment, which only managers and administrators at your company see, if needed. Internal projects have a single field, Comment.
  7. Tap Save.

For some activities one or both comments are mandatory. A red asterisk after the label shows it.

I worked on the same project as the day or week before. How do I report it?
  • If you have not added any time on a day but there is time on the day before, the button Copy previous day is shown when you tap the day in the Time tab.
  • For a whole week, use the button Copy previous week in the Time tab.
  • You can also report a whole period at once, see the next question.
Can I report a longer period at once?

Yes. Add time and select for example Date Monday and Until Friday of the same week. The hours and comments are then added to every day in the period.

Hours worked can be reported on weekends and public holidays too. If you report January 1 to January 31, the time is therefore added to weekends and public holidays as well.

How do I approve the week so it can be authorised and invoiced?
  1. Go to the right week in the Time tab, with the arrows at the top or by tapping the calendar icon under the heading Week X.
  2. Scroll to the bottom.
  3. Tap Approve week.
I have comp time. Where can I see it?

In the Reported time card in the Home tab, or in the weekly summary in the Time tab when you expand it.

How can I see how many hours I have worked on which project?
  • For a week. Go to the right week in the Time tab and tap the white summary at the top to expand it.
  • For a month. Tap the calendar icon under the heading Week X in the Time tab and expand the white summary below the month calendar.
  • Brief summary. The Reported time card in the Home tab shows your hours this week and this month, and your comp time.

Receipts without a company card

You register expenses and then submit them, so that your manager or an administrator can approve and authorise them. Private expenses are included in your next salary automatically.

If you have a company card from AirPlus (formerly Eurocard), SEB Corporate, Kleer or Mynt connected to Kleer, the process is slightly different, see Receipts with a company card.

I have a paper receipt. What do I do?
  1. Go to the Expenses tab.
  2. Tap the round button New receipt.
  3. Tap Take picture, or Choose existing if you already have a photo of the receipt.
  4. The receipt is uploaded and ends up in Receipts to process.
  5. Tap the receipt and fill out the receipt form, see the question about the fields below.
  6. When you have all receipts that belong together, for example the month’s receipts or a business trip, submit them for approval and authorisation.

Once the receipt is saved in Kleer you can throw away the paper receipt. Since July 1, 2024 you no longer need to keep the original.

I have a receipt as a PDF or in an e-mail. What do I do?

Forward the e-mail. You can forward the e-mail to Kleer, whether the receipt is an attached PDF or the e-mail itself is the receipt.

Normally you send it to kvitton@expense.kleer.se. If your user is connected to more than one company in Kleer, send it to the company’s own address, which also ends in @expense.kleer.se. The address that applies to you is shown in grey text at the bottom of the Expenses tab.

Send from the same e-mail address that your Kleer user is connected to, so that Kleer knows the receipts are yours.

Upload a PDF. You can upload PDF files directly in the app with the New receipt button in the Expenses tab. If you have many receipts, you can log in to my.kleer.se instead and upload them under Expenses > Manage expenses.

What do the fields in the receipt form mean?
  • Payment type. Whether you paid yourself or used a company card. Not shown if you have no card.
  • Receipt type. The available types depend on how your company has set up Kleer. The type decides, among other things, how the purchase is booked.
  • Purpose. What the purchase is for.
  • Country. The seller’s country. Change it if you bought a product or service from a foreign seller that you use here in Sweden, for example ads from Google or a LinkedIn Premium subscription, which should both have the country stated on the receipt. Common expenses consumed abroad, such as taxis, hotels and restaurants, are instead reported with country Sweden but without VAT.
  • Total amount. The amount including VAT.
  • Of which VAT. Enter an amount or select a VAT rate. If the receipt has several VAT rates, select Set amount and enter the sum of the VAT amounts.
  • Date. The day of the purchase, according to the receipt.
  • Onward invoicing to. A project the receipt should be invoiced on to, if any.
  • Categories. Shown if your company uses categories in Kleer, for example business area or region. Mandatory categories are marked with an asterisk.
The receipt has two or more VAT rates. What do I do?

Select Set amount and enter the total VAT amount.

What does digital receipt mean?

That the original receipt is digital, for example a PDF you received by e-mail or downloaded. A paper receipt or printout that you have photographed or scanned does not count as digital.

Since July 1, 2024 paper receipts no longer need to be kept in original, so the choice mainly matters for older receipts.

Do I need to keep paper receipts?

No. As of July 1, 2024, paper receipts that have been stored digitally no longer need to be kept in original. Once you have checked that the receipt is uploaded and readable, you can throw it away.

Why do I have to submit receipts after saving them?

Saved receipts and card transactions end up under Expenses > Ready to submit. There you select receipts that belong together and submit them as one, which creates an expense journal in Kleer. It is the journal that is approved, authorised and paid out.

The way of working partly comes from the rules before July 1, 2024, when paper receipts had to be kept in an envelope marked with the journal number. One journal per receipt meant a lot of extra work both for you and for the administrators at your company.

How can I see if an expense has been paid back to me?

The status of all your submitted journals is shown under Submitted expense journals at the bottom of the Expenses tab.

Receipts with a company card

For you who have a company card from AirPlus (formerly Eurocard), SEB Corporate, Kleer or Mynt connected to Kleer. You add the receipt to the card transaction, in the best case automatically, and submit it for approval and authorisation. The rest works as for receipts without a company card.

I have a card transaction to report. What is the easiest way?
  1. Go to Expenses > Card transactions to report, attach the receipt, fill in the rest and tap Save.
  2. Submit the card transaction for approval and authorisation under Expenses > Ready to submit.

The big difference from the flow without a company card is that you always start from the card transaction. Date, amount and currency are already filled in, so you only need to attach the receipt.

If you send your receipts to Kleer as you make the purchases, Kleer can often match the right receipt to the card transaction automatically when you open it in the app. You can also photograph paper receipts directly in the card transaction form.

How does the card transaction form in the app work?

Like the receipt form, but the first step is to select the receipt.

  • If you have already uploaded, e-mailed or photographed receipts, Kleer looks for one where the amount and date match, and suggests it automatically.
  • Otherwise, tap Attach receipt and select among your uploaded receipts (scroll sideways if you have many), or tap Take picture or Choose existing.

Then fill out the form, see What do the fields in the receipt form mean?

If the card transaction has exactly the same description as an earlier one you have reported, Kleer fills in the same values as last time for:

  • Receipt type
  • Country
  • VAT rate
  • Categories, including any distribution

Some recurring purchases from for example Facebook, LinkedIn and Google are recognised even when each reference is unique. “FACEBK Z65TPQ6642” is treated as the same seller as “FACEBK 32X95VFDG3”.

Why do I get two notifications about new purchases?
  • If you have added the card to Apple Wallet or Google Wallet, the wallet app sends a notification for every purchase by default. Turn off notifications for your Kleer-connected card in the wallet app, and you only get the notification from the Kleer app, where you can photograph the receipt right away.
  • If you have an AirPlus or SEB Corporate card, you may need to turn off purchase notifications in their apps too.

Mileage and allowance

How do I report mileage?
  1. Go to the Expenses tab.
  2. Tap the round button Mileage.
  3. Tap an earlier trip to copy it, or select Add new trip.
  4. Select Separate trip or Driving log at the top and fill out the form. You can attach a PDF to a driving log, otherwise the app creates it for you.
  5. Tap Save.

The mileage ends up under Expenses > Ready to submit, where you submit it for approval and authorisation. Read more in Mileage allowance.

How do I report allowance?
  1. Go to the Expenses tab.
  2. Tap the round button Allowance.
  3. Tap an earlier trip to copy it, or select Add new trip.
  4. Fill out the form. The help buttons explain what the options mean.
  5. Tap Save.

The allowance ends up under Expenses > Ready to submit, where you submit it for approval and authorisation. Read more in Allowance.

Salary

As an employee, you can preview your next salary from the 1st of every month, and lock it once you have added last month’s absence and anything else you fill in yourself, such as variable pay.

How can I see what I will be paid at the end of the month?

Go to the Salary tab. From the 1st of every month your salary report is shown at the top. Tap it, then tap Preview at the bottom to see what the payslip will look like.

If the salary has already been authorised, it is shown under Upcoming payments on the same page instead.

How do I lock my monthly report?

Locking was previously called approving. Go to Salary > Next salary and tap the salary. You see hours worked and absence for the previous month, and can add, edit or remove time, preview the payslip as a PDF and lock the report at the bottom.

I have more questions about my salary

Try Kleer’s AI payroll assistant, Ask about salary. You find it in the Salary tab, both for your upcoming salary and for earlier ones. You can ask about a specific month, such as “How has my salary been calculated?”, and more general questions, such as “How many vacation days do I have left?”.

The assistant only answers from the payroll transactions and vacation days of the month you are looking at. It has no access to your personal data.

The feature is available for companies on the latest generation of Kleer’s payroll engine, and for salaries from May 2025 onward. If you do not see the Ask about salary button, your company is on an older payroll engine. Contact your manager or a payroll administrator at your company.

Vacation

Vacation can be tricky, and the safest is to talk to your manager or a payroll administrator at your company. Here are answers to some general questions.

Why does the home screen card show a different number of vacation days than my latest payslip?

The card in the app counts every day you have reported up to and including today. The payslip shows the situation when that specific salary was authorised.

For how long can I save vacation days?

According to the Swedish Annual Leave Act for five years, but check with your manager, since collective agreements can have other rules.

This year’s paid days are used first, then the saved ones. If you have 25 days of vacation and 5 saved days about to expire, you therefore need to take 30 days this vacation year.

Wellness and other benefits

Which benefits and allowances you have, if any, is decided by your employer. This applies to for example wellness, professional development and computer glasses.

The home screen shows how much allowance I have left. How do I use it?

Create an expense from a receipt or a card transaction and select the right receipt type. Expenses reported through an invoice are instead handled manually by your payroll administrator.

If your company uses a benefits portal, such as Benify, it may work differently. Ask your manager.

Approval and authorisation

The home screen has a To do card. You may need to swipe left to see it. It holds both your own tasks and what you are expected to approve or authorise for others: supplier invoices, expense journals and salary reports.

What can I do with supplier invoices?

Supplier invoices you are to approve or authorise are found through the To do card. In the app you can approve, deny and, with sufficient permissions, authorise them. You cannot change anything except the categories, and you cannot pay supplier invoices from the app.

With sufficient permissions you can also see all unauthorised invoices in the company.

What can I do with expense journals?

Approve, deny and authorise them. You can also open a receipt, a mileage or a domestic allowance and edit it if something looks wrong. Foreign allowances are shown in the journal but cannot be opened in the app yet.

What can I do with my employees' salary reports?

For now only approve them. They cannot be edited or denied in the app.

Miscellaneous

I only see Home and Settings, or I am missing a tab I should have. Why?

Your user account has probably not been fully set up yet. Log in to my.kleer.se and check whether the same applies there. Then talk to your manager or the person responsible for Kleer at your company.

Something in the app is not documented. What do I do?

Write to us through Settings > Leave feedback in the app, and we will extend this page. Leave your e-mail address if you want a reply.
