How are new projects created?
How a project is created can be configured in your company settings in Kleer. It is worth knowing which options are available, whether you have been using Kleer for a while or are new to the system. Contact your consultant if you would like to adjust how the settings look today.
A new project is generated with every new customer
You can choose to always start a project corresponding to each customer you have and each customer you add. This is a convenient solution if you work with customers on an ongoing basis but do not have several projects per customer.
New projects are created manually by you
If you do not want every customer to generate a new project, you can instead choose to start the project yourselves when the time comes.
Choose whether a new project is created with a new customer or manually
Choose whether a project should be started when you add a new customer to the customer register. You may want to do a bit of both: sometimes a project should be created when you create a new customer, and sometimes it is not needed.
Who can create and manage projects?
There are three permission types that can create projects: ekonomiansvarig (finance manager), projektadministratör (project administrator) and the permission to “skapa egna projekt” (create your own projects). How should you think about this? In a smaller company, it may well be a finance manager who should be involved in creating projects. In larger companies, on the other hand, there may be a need for an administrator for the projects who has overall responsibility for administration. In some companies there is also a need for users to be able to create their own projects.
Tip: think through your structure and read more about which role is suitable depending on how your organisation looks.
Projektadministratör
Is there an employee at your company who could be administrator for the projects and set up the conditions for the project managers to get going? Bear in mind that this person can see all projects and approve all time. Do you have someone suited to this role?
Ekonomiansvariga
You may already have a user with financial responsibility who administers all the company’s finances, including starting up projects and assigning project managers. In that case, ekonomiansvarig is sufficient as a permission before project manager. And if you want to delegate it to someone else, you can then assign a user the projektadministratör permission — but, as mentioned, think through what you intend that person to be able to see.
Skapa egna projekt
Do you already have users who steer the whole process with their projects, such that they may as well create their own projects themselves? Then this is the permission that person should have in order to create their own projects going forward.
What do a project manager and a project member do?
Projektledare (project manager) is a role assigned when the project is created by one of the permissions above. The project manager can then administer the projects they are linked to.
Project members can report time on projects, submit receipts and see their own follow-up in the system.
