Supplier reports: the accounts payable ledger
See all your debts to suppliers, including invoiced currency, booked amount and more about the invoices
What is an accounts payable list?
The accounts payable ledger specifies all the debts you have to your suppliers, based on the invoices you have received. Here you see which debts are booked on account 2440 for a certain date. Simply put, the supplier invoices that are authorised and booked at that time. Before authorisation the invoices are not booked. In addition to the accounts payable list there is an overview under the heading Supplier invoices where you get a quick overview of what is unpaid.
What can I read from the accounts payable ledger?
The first columns in the list are fairly self-explanatory: supplier, invoice number, invoice date and due date. The rest are explained in more detail below, and will be familiar if you have looked at the guide to the accounts receivable list:
Incl. VAT
This column shows the total booked amount of the debt in SEK. As the heading says, the amount includes the cost and the VAT.
Remaining
The amount shown in this column is what is booked on account 2440 on the selected date. You may have chosen to part-pay the invoice, and part of the debt is therefore still to be paid to the supplier. That is why the amount is not the same as in the column âIncl. VATâ, which is always the total amount of the coded and authorised invoice.
Of which now
This column shows the remaining debt as of todayâs date. Remaining always shows the debt on the selected date, and âOf which nowâ is an updated figure for the payment status today.
Amount in original currency
If you have received invoices in currencies other than SEK, the amount is shown in this column in the currency the supplier actually invoiced you in. You see the currency in the column to the right of this one.
Choose columns in the overview under Supplier invoices
In the overview under Supplier invoices you choose which columns to show. Click Show/Hide columns above the list and tick or untick the columns. Every column except the icons on the far right can be hidden. Your choice is saved for you in the company and is still there the next time you open the overview.
Two columns are hidden from the start:
- G/L account shows the accounts the invoice is booked on, with account name and number. The supplier debt account and the VAT accounts are not shown, so you see what the invoice relates to. Hold the pointer over an account to see the full text. You can filter the column on account number or account name.
- Your reference shows which person at your company is set as the reference on the invoice. You can filter the column on the name.
If you hide a column, its filter is removed, so the list is not filtered on something you cannot see.
