Group: sub-views (income statement, balance sheet, group reconciliation, vouchers, ledger, goodwill and overview)
A walkthrough of the group module's sub-views: dashboard, ownership structure, income statement and balance sheet, group reconciliation, vouchers, ledger and goodwill.
This guide gives a combined walkthrough of the group part of Kleer. The group function brings together several subsidiaries and lets you produce consolidated reports, post group vouchers, manage goodwill and follow the groupâs ownership structure. Each sub-view is described below.
Dashboard
The groupâs start view. It shows graphs of the groupâs result per month and other key figures. Use it for a quick overview before you go deeper into the individual reports.
Overview (ownership structure)
The Overview view shows the groupâs ownership structure graphically, and its history. You can also reach it directly through its own menu item, Group overview.
- Choose Date to see the ownership relationships at a certain point in time.
- The organisation tree shows parent companies and subsidiaries, with the ownership share per company.
- Under History you can switch between a table view (with date, company, share of votes and share of capital) and a timeline. In the timeline you can click an event to update the ownership tree to that point in time.
Income statement
Consolidated income statement for the group.
- Choose Type and, if needed, Template.
- Enter the period with From and To (year/month or date, depending on the type).
- If needed: filter by Dimension, tick Show companies in sub-group and Show decimals, and choose the currency unit.
- With Show/Hide columns you control which companies are shown as columns.
If exchange rates are missing for one or more days in the period, a warning is shown, because this affects the average rate. Information about which exchange rates have been used is shown above the report.
Balance sheet
Consolidated balance sheet. The same parameters as the income statement (period, dimension, show companies in sub-group, decimals, currency and column selection). The closing rate on the balance sheet date is used in the calculation. If the closing rate is not from the latest banking day, a warning is shown with a request to contact technical support.
Group reconciliation
The Group reconciliation view is used to reconcile the groupâs items at a chosen date. Set the date and the other parameters to produce the reconciliation basis.
The reconciliation shows the companies against each other in a table. Each box shows one companyâs assets and the other companyâs liabilities between those two companies. The colour shows whether the amounts match or whether there is a difference.
Click a box to see which accounts are included, with assets, liabilities, revenue and costs between the two companies. From there you go on to the ledger to see the transactions behind a difference.
Vouchers
In the Voucher view you post the groupâs eliminations and adjustments. The list shows voucher number, voucher date, description and balance sheet total, and can be exported.
- Click New voucher.
- Enter the date and description. Tick acquisition if the voucher concerns an acquisition.
- Add transaction rows with account, organisation number (if needed), amount and transaction date. Balance sheet total and Difference are shown as you go, so that the voucher balances.
- Attach supporting documents (PDF/Excel) and write any notes.
- Click Save.
If there are subsidiaries in another currency, you can click Lock the exchange rate to lock a closing rate for one currency and one date. Existing vouchers are opened via the voucher number. From there you see revisions, transactions, files, notes and history, and can choose Edit.
Ledger
The Ledger view shows the groupâs ledger per company and period. Browse between companies via the tabs and export the report if needed.
Goodwill
In the Goodwill view you manage group goodwill and its amortisation.
- The list shows date, description, cost, accumulated amortisation, residual value and depreciation period. Filter and export if needed.
- Click Create to add new goodwill: enter the date, description, account for Accumulated amortisation (balance sheet account) and Amortisation (income statement account), cost, opening value, start month and Depreciation period (months).
- The depreciation plan is generated automatically and can be adjusted per month. Attach supporting documents and save.
- Click a row to see the details of the goodwill and its amortisation. Goodwill can be deleted with a stated message (it is then shown in the deleted filter).
Tips
- Permissions control what you can do: some functions (for example creating vouchers or goodwill) require special write or auditor permission.
- Always check that exchange rates exist for the whole period before you produce consolidated reports.
