Payroll items
What a payroll item controls, the difference from standard items, and which fields affect vacation pay and the payslip.
You find payroll items under Payroll > Payroll items. A payroll item decides what a payroll row is called, how the amount is calculated, how it is booked and how it appears on the payslip.
The list is searchable, and every item has an article code, which is what you recognise it by in the rest of Kleer.
Standard items and custom items
Items are either Standard or Custom.
A standard payroll item cannot be edited. If you need something other than what the standard item does, you create a custom item instead. That is also what Kleer suggests when you open a standard item.
The reason is that standard items are shared and tied to the rules of the payroll engine. A change there would have a wide and unpredictable effect.
The fields of an item
| Field | What it controls |
|---|---|
| Name | The name of the item |
| Article code | The code you identify the item by |
| Category | Standard or Custom |
| Type and unit | What the row is for and how it is measured |
| Cost will be | Which period the cost belongs to |
| Account | The account the payroll item is booked on |
| Sorting | Where the row ends up on the payslip |
| Show payslip | Whether and how the row is shown |
| Free access to the employment contract | Whether the item can be selected on a contract |
| Active | Whether the item can be used |
Sorting works so that a higher number places the row higher up on the payslip, compared with all other items.
You cannot change the account yourself
The account field is locked for regular users, and Kleer states that you should contact your consultant to change the account.
The account must also be within an allowed range, which is shown next to the field. If it is outside the range, the item cannot be saved, and the save button is not clickable.
Two fields that affect vacation
These two decide whether the itemâs amount is counted in the vacation basis, and they are easy to overlook when a custom item is set up.
Basic data for holiday pay as per the percentage rule decides whether the sum from the item is counted as a basis for vacation pay, for employees who have a vacation model where the percentage rule applies.
Data for accrued vacation pay (holiday compensation) on variable compensation via collective agreement decides whether the sum is counted in the vacation liability from variable pay, when a collective agreement with rules for vacation pay on variable pay applies.
Link to pay items in the new payroll engine
The item can be linked to one or more pay items in Payroll V3. If fetching the links goes wrong, the page shows that not all linked pay items could be fetched, and then you need to reload the page. The other details on the item are still correct.
