Budget

Set up the company budget manually or from Excel, copy between years and control which accounts can be budgeted on.

You find budgets under Settings > Budget. The list shows the company’s budgets, and a budget always belongs to a financial year.

The budget is used by, among others, The income statement and The period overview, so it is worth knowing which budget is active.

Four ways to create a budget

  • Create budget manually. You fill in amounts per account directly in Kleer.
  • Upload budget from Excel. First get Download budget template, fill it in and upload it. If a budget with the same name already exists, Kleer asks whether you want to overwrite it.
  • Copy budget. You choose the budget to copy, source year, target year and a new name, and the amounts from the source year are filled in. Instead of changing each row, you can adjust them with Revenue change (%) and Cost change (%), for example to copy last year and raise the revenue by a few percent. The fields are only there when you copy a budget.
  • Fetch from Planacy. For those of you who budget in Planacy, the budget is fetched from there instead.

Budget per category

A budget can be placed on a category instead of on the whole company, and the heading then shows which category entry the budget refers to. This is used when you follow up business areas or cost centres separately.

Activate and inactivate

A budget can be activated or inactivated. Several budgets can remain for the same year, for example a base scenario and a more cautious one, but it is the active one that is used in the reports.

Save as creates a copy of the budget you have open, which is the way to make a variant without touching the original.

The account you want to budget on is not shown

The budget view does not show the whole chart of accounts. If an account is missing, go to the chart of accounts and mark the account as a Favourite. After that it shows up in the budget.

This is the most common reason why an account “cannot be budgeted on”.

Budgets from Excel cannot be edited in Kleer

This surprises many. A budget that has been imported from Excel is shown in locked mode, and Kleer says so on the page. If you want to change it, you export it, change it in Excel and upload it again.

You can reach the original file via Download original Excel, so you do not have to look for it locally.
