Card transactions and Mynt balance

For you who use Kleer's card (Mynt) there are three reports that help you follow up card use: Card transaction, Card transaction ledger report and Mynt balance.

They show individual card purchases, a ledger list of card purchases and the current balance on the card.

Card transaction, what it shows

The report Card transaction shows the card purchases (card transactions) that have been made. Here you get an overview of the company’s card purchases for the selected period, which makes follow-up and reconciliation against supporting documents easier. Card purchases on private Mynt cards are not included.

Card transaction ledger report, what it shows

The report Card transaction ledger report gives a ledger view of the card purchases. You can choose to show the situation as per date, and you can also include deleted transactions in the list.

Mynt balance, what it shows

The report Mynt balance shows the balance on the card as per the selected date. Note that the report shows settled amounts, so reservations that are not yet settled are not included in the balance shown.

How to use the reports

Select the date or period you want to review. For the Card transaction ledger report you can also switch on showing deleted card purchases, and for Mynt balance you select the date the balance is to be calculated per.

The balance on the card account does not match the Card transaction ledger report

It is usually to be expected that the two differ. Three explanations are worth going through before you start looking for missing purchases.

The monthly fee is included in the invoice. The invoice from Mynt is booked with the whole amount on the card account, and that includes Mynt’s monthly fee. The fee has no card purchase behind it, so it never shows in the ledger list. It needs to be rebooked to a cost account, otherwise it stays on the card account month after month and the difference grows.

The invoice period is not exactly a calendar month. Month by month the comparison is therefore uneven. Compare cumulatively over several months instead, and the period shift evens out.

The ledger list is a running list of open items. If a purchase is missing one month, the shortfall follows along onward. The difference then seems to stay month after month even though the cause arose on a single occasion.

If purchases really are missing

Kleer gets the invoice’s total amount from Mynt, not the specification behind it. The reconciliation therefore has to start from Mynt:

  1. Ask Mynt for a transaction specification

Request the specification for the invoice where the difference arises, with all the individual purchases.

  2. Compare row by row

Set the specification against the Card transaction ledger report for the same period.

  3. Ask Mynt to resend what is missing

Only when the missing purchases have come into Kleer can the list match the account.

A card purchase is not shown in the list

The Card transaction ledger report only shows purchases that meet all the conditions below:

  • The transaction date is on or before the date you selected.
  • The expense is not yet authorised as of that date.
  • The card is not a private card.
  • The purchase is not deleted, unless you have chosen to show deleted card purchases.
  • The purchase is either not a reservation, or a reservation that has been authorised.

If a purchase fails any of the conditions, it exists in Kleer but not in this list. A purchase being missing from the list therefore does not in itself mean that it has not come in.
