The employment contract: Absence

You rarely need to administer anything here, but it can be good to know why the tab exists!

What is adjusted in the Absence tab

What is adjusted in the Absence tab?

You rarely need to administer anything here, but it can be good to know why the tab exists! Read more below.

Calculations

Here you can, among other things, control whether the qualifying deduction for sick days (karensavdrag) is made or not, and whether any variable pay is included in the absence calculation. If you have no special cases, you can leave this tab alone! The settings follow standard practice automatically.

Parental leave and child care

Under the Absence tab the system keeps track of the days that qualify for vacation, based on the absence registered in the time report or salary report. The registered days can then be followed up in this view. Absence is reported as usual in the employee’s salary report or time report.

Parental leave

If an employee took parental leave before Kleer, in a previous employment, these days are to be entered under Used days, because parental leave only qualifies for vacation for 120 days per birth, or 180 days if the person is a single parent. Kleer can then calculate what happens in the system correctly based on what has happened before. Contact your Kleer consultant if you need help!

VAB

VAB (care of a sick child) must be reported per child to keep track of the correct earning of vacation. Absence due to VAB qualifies for vacation pay up to 120 days per earning year. If you have reported more than 120 days of VAB, no vacation liability is booked even if the absence is settled on the salary. Here too, 180 days apply for sole custody.

The law can be interpreted in different ways, and reporting per child lets you handle VAB the way you have decided as a company. That can be either 120 days per child and earning year, or 120 days per earning year for all children together. How you handle VAB is up to you.

If an employee has reported VAB earlier in the year when no child could be selected, there is a summary of these days under the Absence tab. These days do not affect the earning of vacation unless they are entered per child, and are only history.

Illness

As a customer you do not need to keep track of this point. Kleer handles it automatically and it only affects a few. Read more about the background to this function in the system below. You do see the reported sick days here, but you can also check them in one of Kleer’s reports for payroll.

Why is this part in the employment contract?

For the employee, 180 sick days per earning year qualify for vacation pay. Kleer handles this automatically, based on the sick days reported per employee. Vacation is thus earned up to 180 reported days of sick absence. After that, vacation stops being earned until the next earning year for vacation starts. An earning year runs over one year, usually between January and December or between April and March, and does not have to coincide with the company’s financial year.

Extra check before authorisation of salary report

Here you fill in information that you want to be shown on the employee’s salary report for the person who administers payroll. For example, if you need to be reminded of something when you are about to approve the person’s salary report. The employee cannot see what is written here.
